Position Information

Bachelor's degree in a related field or equivalent and 2 years of professional experience
Preferred Qualifications Position Summary
This position has a high level of responsibility and serves as the primary administrative resource for student services in the department. It serves as liaison between the department and other University units relating to student services and other departmental activities. Overall duties include representing the department's graduate and undergraduate programs to various stake holders. The responsibility for the graduate program includes recruiting students, both domestic and international, managing their admission, enrollment, orientation, completion of degree requirements, and serving as a student liaison. This position supports the graduate and undergraduate coordinators in the department, along with the key personnel in the CAES and the graduate school. Selects student ambassadors and supervises them in connection with outreach activities. It works with student Food Science club, industry employers, and other external clients in connection with student career placement, internship, and other academic endeavors.
Knowledge, Skills, Abilities and/or Competencies
- Excellent computer skills including student systems, Adobe Experience Manager, Microsoft Office, and Adobe Creative Suite.
- Extensive knowledge of the requirements of both the undergraduate and graduate degree programs.
- Organizational skills, self-motivated, good written and verbal communication skills, and the ability to establish and maintain effective working relationships.
- Strong interpersonal and creative problem-solving skills as well as a positive, collaborative approach to working with students and colleagues.
- Experience in advising students and student organizations.
- Thorough knowledge of UGA academic policies and procedures.
- Demonstrated ability to coordinate and manage multiple competing projects in an organized, efficient manner by prioritizing tasks to meet deadlines.
- Typical office duties including sitting at a desk with computer for extended periods.
- Lift/carry up to 25 lbs.
- Driving as needed to perform job duties.

Graduate Program Coordination:
- Create and update departmental graduate program and procedures manual
- Provide support to the graduate coordinator as the graduate coordinator assistant, manage communication of policies to faculty and students, advise faculty and students via phone or drop in during regular office hours, distribution of graduate student opportunities, etc.
- Coordinate comprehensive examinations and oral defenses, MS theses defenses and PhD defenses. Includes announcements to the graduate school, scheduling rooms/times, and collecting and submitting associated paperwork.
- Create the master calendar of graduate programs events and deadlines
- Investigate and determine solutions to procedural problems and requirements
- Schedule and announce graduate student preliminary exams and final exams
- Manage GRA and Fellowship hiring.
- Oversee GRA hiring actions in UGAJobs with office admin. staff.
- Provide necessary information to departmental business managers on Athens and Griffin campuses for payroll and fees waiver processing.
- Monitor Graduate Assistantships to ensure all graduate students are paid in a timely manner
- Design, distribute and compile reports of student exit surveys, and compile outcome data from theses/dissertation defenses.
Graduate Admissions Process Coordination:
- Coordinate the graduate application process
- Ensure that all necessary documents are received and in file for review
- Create and maintain applicant databases and spreadsheets
- Create and implement new application forms to gain pertinent information from applicants
- Compile data and evaluate application procedures of like programs
- Implement changes in departmental admission procedures and policies to meet program goals
- Coordinate admission of Students
- Complete admission and denial notices
- Match graduate applicants to departmental graduate research assistantships (GRA) and Graduate School fellowships. Make recommendation to Graduate Committee
- Compose offer letters for GRA
- Organize and attend Graduate Committee meetings
- Inform committee on graduate school and departmental regulations
- Research national statistics relevant to the program to develop departmental graduate admission standards and practices
Student Services Liaison:
- Inform current graduate students of Graduate School policies and procedures
- Inform current graduate students of departmental requirements for M.F.T., M.S., and Ph.D. programs
- Departmental liaison with Admissions, Graduate School, International Programs, and the College of Agricultural and Environmental Sciences dean's office.
- Ensure departmental and graduate school deadlines are met by tracking graduate student degree progress
- Assist students with course registration involving Banner and Athena
- Manage departmental student ambassador program and other student volunteers that assist with departmental efforts
- Create and manage databases for tracking student progress, internship participation, enrollment reporting and alumni information.
- Distribute scholarship and fellowship to graduate and undergraduate students.
- Apply tuition waivers for graduate students.
Student Recruitment and Retention:
- Inform prospective graduate students on departmental requirements for admission and availability of financial assistance
- Communicate with prospective undergraduate students
- Create recruiting materials
- Develop, implement, and supervise graduate student visits and other recruiting visits
- Develop and manage recruitment budget based on allocated funds
- Develop departmental retention strategies
- Participate in recruitment events on campus and throughout state
- Host visiting prospective students, school groups, teachers, etc.
Departmental Support:
- Coordinate and provide leadership on special projects assigned by the department head
- Work collaboratively with other members of departmental leadership to assist in the assessment of departmental academic programs and reporting in Xitracs portal
- Prepare and submit academic program review, enrollment, and assessment reports
- Assist with compiling, composing, and distributing departmental alumni newsletter
- Event coordination and management
